What kind of businesses is Membrix for?

Gyms, fitness studios, yoga and dance studios, and coaching centres or classes that charge a recurring fee. It is built for businesses with tens to hundreds of members, run by an owner and a front desk.

How are fees calculated?

Each plan is a price for a set number of months. Membrix raises the next fee a few days before the current period ends, and each new period starts exactly where the last one ended. A member who pays late doesn’t lose days, one who pays early doesn’t gain them, and a member never has more than one unpaid fee at a time.

How do WhatsApp reminders work?

Tap Remind on any due fee. WhatsApp opens on your phone or computer with a ready-written message containing the member’s name, plan, amount, due date and your UPI ID, and you press send. It uses your normal WhatsApp, so you don’t need a Business API account or template approval.

Can members pay online through Membrix?

Not directly. Members pay you the way they already do (cash, UPI, card or bank transfer), and you record it in one tap. Every reminder includes your UPI ID so they can pay right away.

Is there a mobile app?

Yes. The Android app gives owners the home dashboard, members, check-in, fees and settings, using the same account as the web dashboard. The web dashboard also works well on phone browsers.

What happens if I change a plan’s price?

The new price applies only to fees raised from that point. Fees already raised keep their original amount, so nobody is surprised.

Each business’s data is kept separate and checked on every request. Passwords are hashed, sign-in sessions use short-lived rotating tokens, and the mobile app keeps tokens in the device’s secure storage.

How much does Membrix cost, and how long does setup take?

Pilot pricing is shared on a short walkthrough. Most businesses are set up within a week: we create your plans, bring in your current members with their paid-until dates, and add your UPI details.

Every member’s plan, payment status and visits are in one searchable list, kept up to date from their fee records so nobody has to update a status by hand. Each member record holds:

Name, phone (their WhatsApp number) and optional email
Plan, joining date and notes (goals, injuries, batch timing)
A live status: Paid up, Fee due, Expired or Left
Paid-until date, pending amount and next due date
Visits this month and a 60-day attendance strip

Fees That Raise Themselves

Each member’s next fee is raised automatically a few days before their current period ends. Billing periods follow on from each other, so a late payer doesn’t lose days and an early payer doesn’t gain any. Fee handling covers:

Automatic dues, 3 days before the period ends (adjustable)
Monthly, quarterly, half-yearly or yearly plans (1–36 months)
Only one unpaid due per member, so dues don’t pile up when someone stops coming
Mark paid with amount, mode, date and a note (e.g. “UPI ref 4821”)
Discounts recorded when a member pays less than the due
Waive a due for a member on leave, and undo any payment

WhatsApp Reminders, One Tap Away

Reminders go out from your own WhatsApp, written in your business’s name. You tap Remind, WhatsApp opens with the message ready, and you press send. You don’t need a WhatsApp Business API account, templates or approvals. Reminders include:

Member’s first name, plan, amount and due date
Wording that changes for “is due” and “was due”
Your UPI ID, so members can pay straight away
A polite “please ignore if already paid” line
When the reminder was sent, recorded on the fee
A live preview of the message in Settings

Check-In That Catches Unpaid Fees

Type a few letters of a name or phone number and tap to check the member in. If their fee is due or their membership has expired, Membrix flags it then and there, so you can collect at the desk. Check-in covers:

Search by name or any part of the phone number
One check-in per member per day, with times recorded in IST
Red “Fee due — collect at the desk” flag
Amber “Membership expired — renew” flag
Collect, remind or renew straight from the check-in screen
Day-by-day history with “N check-ins · M with fees not paid”

Plans You Can Change Safely

Set up your plans once and change prices whenever you need to. A new price applies only to fees raised from then on, so members already billed keep the amount they were quoted. Plans support:

Any name, price in rupees and duration (1–36 months)
Quick presets: Monthly, Quarterly, Half-yearly, Yearly
A per-month price shown for longer plans
Price changes that never touch existing dues
Retiring old plans while current members keep them
A count of active members on each plan

A Dashboard That Answers “How Are We Doing?”

When you open Membrix you see today’s money, this month’s money and who owes you, with the people to follow up listed first. The dashboard shows:

Total overdue, with the number of members
Active members, and how many of them are paid up
Check-ins today
Renewals due in the next 7 days
The most overdue members, oldest first, with Remind / Paid / Cancel on each

A member’s status is calculated from their fee records every time, never typed in by hand, so the list can’t drift from the money.
